Party rates & credit

Wholesale billing with credit limits that stop the next bill

Give each party its own discount and credit limit, let volume tiers come off bigger bills, and stop an invoice that would take a party past its limit. Ageing and staged reminders chase what is owed, and van trips keep the load, the sales and the cash together.

For FMCG distributors, stockists, and electrical, hardware and building-material wholesalers who sell on credit.

On the party's terms

Each party's own discount, and a credit limit that holds

Set a party's discount and credit limit once, and volume discounts by bill value apply on their own. An invoice that would take a party past its limit is stopped before the goods go out.

Rates for each party

The rate a retailer gets and the rate a stockist gets, set once so the clerk doesn't have to remember them.

Party discount

Set a discount percentage on the party. It fills in on every line of their invoice, and you can change it per line.

Volume tiers

Discounts by bill value, such as 3% on bills of ₹50,000 and above, taken off on their own.

Price lists

Named lists such as Retail, Wholesale and Stockist, each with its own rate per product and currency.

Business parties

GSTIN, address and place of supply on each party, so B2B bills get CGST and SGST or IGST right.

A bill, worked out

Discounts first, then GST, then the credit check

Sharma Traders gets 2% off as a party. The lines come to ₹58,000, so ₹1,160 comes off and the bill stands at ₹56,840. That is over ₹50,000, so the 3% volume tier takes off another ₹1,705.20, and 18% GST is charged on ₹55,134.80.

Sharma Traders has a ₹5,00,000 limit and already owes ₹4,20,000. ₹4,20,000 plus ₹65,059.06 is ₹4,85,059.06, inside the limit, so the invoice is saved. Had they owed ₹4,40,000, the total would be ₹5,05,059.06 and the invoice would be stopped.

  • Party discount fills in on each line
  • Best volume tier applied when no discount is typed
  • GST on the value after discounts
  • Credit checked before the invoice is saved

Credit and collections

Know who owes what, and for how long

Credit given on a phone call is easy to lose track of. These keep it on the screen.
  • Credit limit per party

Unpaid bills less credit notes, plus the new bill, are checked against the limit every time.

  • Receivables ageing

What is owed in 0–30, 31–60, 61–90 and 90+ day buckets, on the reports and the wholesale dashboard.

  • Party statement

Invoices, payments and credit notes in date order, with the balance and that party's ageing.

  • Staged reminders

Overdue bills get reminder emails with a payment link at 3, 7 and 14 days, or days you choose.

Van sales on the beat

One trip for each van and salesman, from loading in the morning to settling cash in the evening.

  1. 01

    Start the trip

Enter the salesman and the beat, such as Hajipur market, and load each product with its quantity.

  2. 02

    Sell at each outlet

Pick items from the van's load, which shows how many are left, and raise the bill. Each sale is a GST invoice.

  3. 03

    Watch the road

The wholesale dashboard shows today's vans, loaded stock against what has been sold.

  4. 04

    Close and reconcile

Closing the trip shows loaded, sold and left for each product, and sold value against cash collected.

Van sales are billed as paid on the spot. The load is tracked on the trip, and stock leaves the godown as each sale is billed rather than when the van is loaded. Van sales come with the Distributor plan.

Orders before invoices

For parties who order by phone or through a salesman and take delivery over a few days.

  • Sales orders that hold stock

Confirming an order reserves the stock, so it isn't promised to someone else.

  • Picking list and delivery notes

Print a picking list for the godown and deliver in parts, with a delivery note for each trip.

  • Invoice from the order

Turn the order into a tax invoice, and the credit limit and volume tiers apply as usual.

  • Sales by salesperson and area

Order value booked by each salesperson and by route, on the wholesale dashboard.

  • Godown stock

Stock in each godown, with transfers that show goods in transit until they arrive.

  • Approvals for big orders

Orders above your limit, or with a discount, wait for a manager's approval before they are confirmed.

Price lists hold your rates but are not linked to a party yet, so picking a party fills in its discount, not a list rate. Volume tiers work on the bill value, not the quantity of one product. Payment terms are kept on the party but don't set the due date by themselves.

Questions

Questions about price lists and credit

Something not covered here? Call or WhatsApp us and you'll speak to the people who build the product.

Each party has its own discount percentage, which fills in on every line when you pick the party, and you can change it on any line. Bigger bills also get your volume tier on their own. Price lists hold your retail, wholesale or stockist rate for each product to quote from.

The invoice is not saved. If what the party owes on unpaid bills, less credit notes, plus the new bill would go over the limit, you get a message with the three figures, so you decide before more goods go out. Parties with no limit are never blocked.

You set tiers by bill value, for example 2% from ₹25,000 and 3% from ₹50,000. When an invoice has no discount typed in, the best tier the bill qualifies for is taken off the whole bill, and GST is worked out on the lower value.

Start a trip with the salesman, the beat and what is loaded. At each outlet, pick items from the van's load and raise the bill; each sale is a GST invoice tagged with the salesman and beat. Closing the trip shows loaded, sold and left for every product, and the cash collected.

Yes. When an invoice is past its due date, the party gets a reminder email with a payment link at 3, 7 and 14 days, or on a schedule you set, and you get an in-app alert at each step.

Not yet. E-invoicing, with the IRN and signed QR, comes with the Distributor plan through your own GSP account; e-way bills are not generated in the app.
